For small teams sharing one inbox

Know who's got it. Reply once.

InboxClaim sits on top of your shared Gmail or Microsoft 365 support inbox. Claim an email and everyone sees who owns it, and what is still waiting.

An email lands

Every customer email becomes one issue.

A forwarding rule in Gmail or Microsoft 365 sends a copy to InboxClaim. It shows up unclaimed, with a waiting time you can see.

One click

Claim it. Now it's yours.

If two people click at the same moment, one wins and the other is told straight away, so the whole team can see who has it.

The whole team sees it

A board of who has what.

Unclaimed first. Filter by all, unclaimed, mine or done. Every change goes in an activity log.

Pick it up

Turn it over.

Drag to spin it. This is what a claim feels like: one email, one lock, one name on it.

Try it

Click Claim on a customer email.

Same idea as the app: the unclaimed count drops, your name goes on the issue, and everyone else sees it.

From inbox to owner in three steps.

  1. 01

    Forward a copy

Add a forwarding rule in Gmail or Microsoft 365 to your private InboxClaim address. Customers keep writing to the support address they already use, and never see InboxClaim.

  2. 02

    Claim it

New mail appears as an unclaimed issue. InboxClaim checks for new mail every 20 seconds, and forwarding adds its own delay. One teammate claims it.

  3. 03

    Reply in your inbox

The claimant opens the original message in the shared mailbox and answers there. InboxClaim never sends or reads your replies. Release it, or mark it done.

Straight talk

What InboxClaim does not do.

A pilot should tell you the edges before you find them.

  • It is not an email client. It does not send, read or store your replies.
  • It cannot stop a reply. A teammate can still answer from their inbox without claiming. InboxClaim makes ownership visible; it does not lock the mailbox.
  • Finding the original differs by inbox. On Gmail it is a Message-ID search that usually finds the original but can miss. On Microsoft 365 an optional delegated connection can resolve the Outlook link; otherwise the owner adds a direct link. Either way, the owner can replace a failed lookup with a verified direct link.
  • Everyone needs mailbox access. Each claimant must be able to open the shared mailbox (Gmail or Microsoft 365) for the handoff to work.

Plans

One price per team. Not per seat.

One price for the whole team, not per seat. No ripping your inbox out and moving everyone onto a new app — InboxClaim sits on the Gmail or Microsoft 365 inbox you already use. Start on a 14-day trial, no card.

Every plan includes

  • Atomic claim, release, complete and reopen
  • Email intake checked every 20 seconds
  • Handoff to the original in Gmail or Outlook
  • Invite-only one-time sign-in links
  • Full activity log on every issue
  • Desktop alerts and an unclaimed count
  • 30-day message retention, UK privacy notice
  • No feature is held back for a higher plan

Invite-only, and small on purpose.

Access
The owner invites named teammates, up to 14. Sign-in is by one-time email link. Removing a member ends their sessions.
What we keep
Sender address, subject, message text, timestamps and a search reference. Forwarded email records are deleted automatically after 30 days.
Who handles it
Resend receives forwarded mail and sends sign-in links. A privacy notice written for UK data protection law is published in the app.

Questions teams ask first.

Do we have to change our email?

No. Replies stay in your own inbox, Gmail or Microsoft 365. InboxClaim only adds the question of who owns each message.

What does setup involve?

A few one-time steps: pick Gmail or Microsoft 365, add a forwarding rule to your private receiving address, give each teammate access to the shared mailbox, and invite your team.

Does it work with Outlook or Microsoft 365?

Forwarding and claiming are supported. For one-click opening, the owner can connect a Microsoft 365 account with access to the shared mailbox; InboxClaim then asks Microsoft Graph for the original message’s Outlook link. The owner can also paste a direct link. This path is implemented but still awaiting verification against a real Microsoft 365 tenant.

How much does it cost?

£99/month for up to 10 people, £199/month for up to 25, and £499/month with no seat limit. There is no free tier, but every plan starts with a 14-day trial and no card. See Plans.

Can customers see InboxClaim?

No. Customers only ever write to your normal support address.

Run your next real issue through it.
